The questions arrive exactly when nobody has time
In hospitality, the time guests write is the time you are working. Just before lunch, early evening, the weekend. The message "Do you still have a table for four tonight?" sits in the mailbox for two hours, and the guest has long since booked somewhere else.
Then there are the questions that are the same every day. Is there something vegan? Is the dog allowed? Are you open on Monday? Each one takes a minute to answer, but twenty of them a day are a job nobody in the business has.
Groups and events: complete before you see them
A request for a company dinner rarely arrives complete. "There are about 50 of us in December" is a start, but not an order. By the time you know which day, what time, whether there are vegetarians and what the budget is, three emails have gone back and forth.
The AI asks those questions itself, in the chat or by email, one after another, and skips what the guest has already said. The request reaches you as a card: 50 guests, 12 December, 7 pm, four vegetarian, drinks included, plus a name and number. You accept, decline or write back. The AI cannot confirm, that stays with you, because only you know whether the kitchen can do that evening.
Menu, allergens and rest days in the AI's knowledge
For the AI to answer menu questions, the menu has to be readable somewhere. It reads your website for that. Whatever is not there, we add as text of its own or as a fixed rule.

If it is text on the website, the AI can read it. As a PDF that is harder, so we add it as text instead.
Allergens
This is where the AI must never guess. The fixed rule says: no information beyond what is declared, just a pointer to you.
Rest days and holidays
Opening hours, holidays and closures as fixed rules that always take priority. If something changes, you send us a message.
Your reservation system stays where it is
An ordinary table for two needs no AI, and you may already have a reservation system for it. That stays. The AI knows the link and shows it as a button as soon as someone wants a table, instead of booking itself.
What belongs in the chat is what the reservation system cannot do: the group of more than twelve, the drinks reception after a wedding, the question of whether the back room is free for a birthday. And if you would rather talk about occasions like that on the phone, the AI points to your number or WhatsApp instead of continuing the request itself.

No. It collects the details and puts the request in front of you, accepting or declining is yours. For simple table bookings it links your existing reservation system, which then books as usual.
Only what is in your knowledge, and when in doubt nothing. We add a fixed rule that it gives no information on allergies that are not clearly declared and points to you instead. With a severe allergy a quick call back from you beats any answer from the chat.
It depends on how many enquiries come in writing. If almost everything happens on the phone, you do not need it. If you regularly get groups, company dinners or events and answer those emails at night, that is exactly where you save time. We tell you honestly which side you are on.
